How to assign the POS Manager role to users

The POS Manager role is assigned to users who supervise operations such as canceling products for an order for which a receipt has not yet been issued or validating quick discounts.

To set the POS Manager option for one or more users, go to the Account Settings - Company Settings - Managers POS.

From the POS Managers section, clicking on the arrow on the right will display all users -> Only those who are assigned the POS Manager role will be selected.

From here, you can set up several actions for POS managers, such as:

  • Reprinting receipts

  • Moving products to other tables

  • Moving the table to another user

  • Controlling which user can offer discounts or cancel products

NEW: You can now block access to the table after issuing the bill, so that products can no longer be moved from one table to another or to another user.

For example, when a user applies a quick discount when issuing a receipt or wants to remove a product from an open order, the POS Manager PIN will be required to complete the operation. For voiding, the PIN is required regardless of the method used: swiping left on the product, pressing and holding → Delete product / Void product, decreasing the quantity or removing a priced modifier from the Modify product window, or using the three-dot button → Void products.

Where the POS Manager role applies

The POS Manager role and PIN requirement apply only to receipts and products handled in POS, meaning products added to a table or to a receipt in the application.

Orders received from delivery platforms (Bolt Food, Glovo, Wolt, and other integrations) are not covered: they can be accepted, rejected, or cancelled by any employee with POS access, regardless of whether they are a POS Manager. At this time, Ebriza has no setting that can restrict the cancellation of an order received from a delivery platform.

The POS Manager also determines who can see the location total on the Sales page

In addition to the actions described above, the POS Manager role also determines what is visible on the Sales page in the app. The page is not controlled by any user permission: there is no Reports permission, or any other permission, that can be used to change what is visible there.

POS Manager: sees the complete list of reports, meaning an “All sales” row with the location total and one row for each user, across the predefined periods (for example, Today and Current month).

User who is not a POS Manager: sees only their own report, with their sales broken down by payment method (cash, card, and others). They cannot see the location total or their colleagues' sales. The predefined periods remain available, but only for their own figures.

Attention: if the POS Managers list is empty, the app considers ALL users to be managers, so everyone can see the location total and sales for the entire month. This is the usual cause of the complaint “each employee can see the sales for the entire location” — it is not caused by permissions and is not a defect.

To limit visibility:

  1. Go to Account Settings, then Company Settings, then POS Settings.

  2. In the POS Managers field, select the person or people who are allowed to see the location total.

  3. Click Save.

  4. Users on the POS tablets must log out and log back in so that the change is transmitted to the app.


Edge cases

System asks for POS Manager PIN even though the user already has the role assigned

If you've set a user as POS Manager from Account Settings → Company Settings → POS Settings, but the app continues to request manager selection and PIN, the changes haven't propagated to the POS yet. Solution:

  1. From the Nomenclator --> Products, run a Sync menu

  2. Fully close and reopen the Ebriza POS Next app

After sync, the newly assigned role will be recognized and the PIN will no longer be requested for the POS Manager user.

The message "Order closed on another device" appears when opening a table

This message is informational, not an error — it indicates that another user on a different device (tablet, phone) closed that order in the meantime. There is nothing to fix: the order was processed correctly, and the current device is simply reflecting the updated state after sync.

The app asks for the POS Manager PIN when I decrease the quantity or remove a modifier

This is the expected behavior, not an error. When the Restrict product voiding option is enabled, any action that removes value from the receipt is treated as a void — including decreasing the quantity of an already marked product and removing a priced modifier from the Modify product window. Increasing the quantity, adding notes, changing the serving order, and adding a modifier remain unrestricted. If you do not want this behavior, disable the option from Account settings → Company settings → POS settings.

The app asks for the PIN for any modifier change on a product, even when I add something

This happens when a priced modifier on that line can no longer be found in the list of modifiers — for example, the option was deleted from the Catalog, the group is no longer associated with the product, or the group's Maximum value was reduced in the meantime. In this case, the app cannot correctly compare the old value with the new one and asks for the PIN as a safety measure for any modifier change on that line. The solution is to add the option back to the modifier group in the Catalog, or delete the line and mark it again.
