When the preparation time is requested for delivery platform orders

How to choose whether the preparation time is requested when the order is accepted or when it is sent to preparation, separately for each brand of a delivery integration.

For each brand of a delivery integration you can choose when the operator is asked for the preparation time: when accepting the order, or when sending it to preparation. The setting is per brand, so two brands of the same integration can be configured differently, and if you have several brands you have to set it for each brand you want to change. The setting applies to all locations and devices working with that brand.

Why it matters?

For Wolt, Bolt Food, Glovo and Deliverect, the preparation time only reaches the platform together with the acceptance of the order. A time filled in later, when sending to preparation, stays only in Ebriza and no longer reaches the platform, so the customer does not see it either. If you want the time entered by the operator to be sent to the platform, choose "When accepting the order".

Where to change the setting?

1. Log in to the admin account and go to Apps.

2. Open the delivery integration app you want to change (for example Wolt, Glovo, Bolt Food).

3. In the list of brands, click "Configure brand" on the brand you want to change.

4. In the "When to ask for the preparation time" field, choose one of the options:

  • When sending to preparation – the default option. The operator is asked when they tap "Send to preparation", exactly as before.

  • When accepting the order – the operator is asked as soon as they tap "Accept order".

5. Save.

The change reaches the tablet through synchronisation, within a few seconds. There is no need to log out and log back in. Orders accepted before the synchronisation follow the old setting.

What changes in the POS

If you choose "When accepting the order", tapping the "Accept order" button opens the preparation times window, before the order status changes. The times shown are the ones ticked in POS Settings – see the article "Customisable preparation times in the POS [Ebriza POS NEXT]".

  • If the operator picks a time and saves, the order is accepted with that time, and the time is sent to the delivery platform. At "Send to preparation" they are no longer asked anything.

  • If the operator closes the window with X or with the back button, the order is accepted without a preparation time. This is not an error and it does not cancel the acceptance. The time will be requested later, mandatorily, at "Send to preparation".

  • If the acceptance and the sending to preparation are done from different devices or by different users, the answer given at acceptance is kept on the order, so the second operator is not asked again.

If you stay on the default option "When sending to preparation", nothing changes: the preparation time is requested mandatorily at "Send to preparation", and closing that window cancels moving the order to preparation, as before.

Special situations:

  • Automatically accepted orders: if you have enabled automatic acceptance on the brand, the order comes in already accepted, with the default preparation time set on the brand. In this case the operator is not asked either at acceptance or when sending to preparation.

  • Orders scheduled for the future: the delivery time requested by the customer does not change. The preparation time entered at acceptance is saved on the order, but the delivery time remains the one requested by the customer.

  • Orders that already come with a preparation time (for example from integrations such as Tap Tasty or GloriaFood): if the operator closes the window at acceptance without answering, the time will still be requested when sending to preparation.
