Permissions for different locations

Written by Andrei

Permissions must be set for every location in order for you to have access to your other locations.

You will need to go to Account Settings and select the Users tab so that you can choose for what user you will give permission on other locations.

From there, select the user and Click on Permissions.

Select the location and you can either choose to change all permissions or you can do this manually, clicking on each line.

Save when done.

The permissions can be:

  • Denied: This point in the menu button will not be shown to the user.

  • Reading: The user will only be able to view the menu button without making modifications.

  • Writing with approval: The user can see this button and any modification will be made only with a superior`s approval.

  • Writing: The user will be able to modify the information related to the menu button.

Newly Added Locations

A newly added location does not automatically receive permissions for any user. After adding a new location, return here, under Account Settings → Users (or Roles), select the new location in the selector within the permissions window, and grant the required permissions. Until then, a user who tries to switch to the new location will be taken back to the previous location, often without receiving any error message.

Permissions are loaded during authentication, so after saving the changes, the user must log out and log back in for the new permissions to take effect.

A user does not appear at one of the locations

Permissions are granted separately for each location, so the same user can have full rights at one location and no rights at all at another. If a colleague appears at one location and not at another, the usual cause is that no permission has been set for them at the location where they are missing.

Please note: seeing the person in Account Settings - Users does not mean they have rights anywhere in particular. That list belongs to the entire company, and rights are granted separately, for each location.

On the tablet, a location's user list only shows the users who have POS rights with Write on that location. A user without this right on that location simply does not appear in the list on the tablet there, even if they appear normally on another location's tablet.

The POS Write permission also determines which work locations the user sees when logging in on the tablet: the “Choose a location” screen, displayed after entering the credentials, contains only the work locations for which that user has this permission. If someone says that only one work location appears on the tablet, even though the account has several, check their permissions for the missing location, exactly as described below. This is not a device issue: deleting and re-registering the tablet does not change anything, because the list is built during authentication, before the device is linked to a location.

Here is how to check and fix it:

1. Go to Account Settings, the Users section.

2. Press the Permissions button next to that user.

3. In the location selector in the permissions window, choose exactly the location where they do not appear (not the location you are currently working on).

4. If nothing is checked there, that is the cause: grant the necessary rights - for the user to appear and be able to work on that location's tablet they need POS rights with Write - then press Save.

5. Ask the user to log out and log back in. On the tablet, the application must be completely closed, including from the background, and then reopened - permissions are loaded during authentication.

If the user gets their rights through a role, check their role in the same way, from Account Settings - Roles, again for that location.
