How do I make a consumption receipt

A consumption receipt can be created in three places: from Admin, under Stock Management – Stocks (the steps below), for merchandise and raw materials; from Admin, under Products – Products, for products that have a recipe (see the section “Consumption receipt for a product with a recipe” below); and directly from the tablet, in the Ebriza POS NEXT app, under Other – Consumption Notes. If the person who needs to create the consumption receipt is a waiter or another user working a shift, the POS option is the more suitable choice. The consumption receipt is useful to you when a product has been damaged, expired or is simply not for sale. The receipt can be saved even if some ingredients do not have enough stock. In that case the negative-stock warning described above appears.

To create a consumption receipt in Ebriza, all you have to do is access the Stock Management - Stocks menu item:

Select at least one stock from Stocks, click on the "Consumption receipt" button on the top right:

A window will open where you can fill in the date on which you want it to be created, the reason why the document is prepared and the quantity for which you want to make a receipt. The quantity is not limited by the stock available on that date: you can make a consumption receipt even for a stock that is 0 or negative, because the document records what was actually consumed.

If saving would take one or more stocks below zero, the message "After saving, the stock will be negative for: ... Continue?" appears before saving. It lists the affected stocks and the quantity each will be left at. For products with a recipe, the check covers the recipe ingredients. Click Continue to save the receipt as it is, or Cancel to go back and correct the quantities. The message is only a warning and does not block saving. If the stock stays positive, the receipt saves straight away, as before. A stock that has gone negative can be corrected later by adding the supplier invoice under Entries, or with an inventory or a stock reset (see the article "Why do I have a negative stock?").

After Saving, the document will be generated, which you can download in PDF format or print directly.

Regardless of whether you choose to download or print the consumption voucher, it will be saved in History, from where you can access it at any time.

How do I print a consumption receipt I already made?

Consumption receipts you have already saved can be printed only from Admin (your ebriza.com account, in a browser), from History:

1. Go to Stock Management (or Stock Management Premium, if you have this add-on) → History.

2. Click the magnifying glass at the top right and select the location and the period you want.

3. Click the "Consumption receipt" tag so that only consumption receipts stay in the list.

4. On the receipt's row, click the three dots → "Edit stock movement (Consumption receipt)".

5. In the window that opens, click "Print".

If you need a list of all consumption receipts in a period (for example for your accountant), click "Export" on the same History page with the "Consumption receipt" tag active.

Note: in the Ebriza POS NEXT app (Other → Consumption Notes) you can create new consumption receipts and view existing ones, but you cannot print them.

A consumption receipt can be edited if the wrong quantity has been subtracted or saved with the wrong date, for example:

Consumption receipt for a product with a recipe (for example a cappuccino)

A product with a recipe (for example a cappuccino, a pizza or a cake) has no stock of its own and does not appear under Stock Management – Stocks. You can still take it out of stock. If the product was prepared but not sold (for example it was spoiled, given as complimentary consumption or thrown away), create a consumption receipt directly from the product list:

  1. Go to Products – Products.

  2. Tick the product (or several products at once) in the list.

  3. Click the “Consumption receipt” icon in the action bar at the top.

  4. In the window that opens, fill in the consumed quantity for each product, the date and the reason. The receipt is created for the location selected at the top of the screen.

  5. Save.

The consumption receipt deducts the raw materials and merchandise in the product’s recipe from stock, multiplied by the quantity you entered, exactly as a sale would, but without payment.

If you see the message “Select only products that have recipe for a consumption receipt.”, one of the ticked products has no recipe. For merchandise or a raw material, create the consumption receipt from Stock Management – Stocks, as described above. The message “You did not select any products” appears if you did not tick a product before clicking the icon. This feature requires the Stock Management (Gestiune) or Stock Management Premium app to be installed.

Attention: The consumption receipt causes the written quantity / quantities to be automatically deducted from stock, exactly on the date set in the document, so it will bring changes to the current stock.

What Permission Does a Role Need to Create a Consumption Note?

To create a consumption note, a role must have Write permission for the Inventory - Stock menu item. This permission is the same whether the consumption note is created from Admin or directly from the Ebriza POS NEXT app. There is no separate permission for using this feature in the POS.

Permissions are loaded when the user logs in, so after changing the permissions, the user must log out and log back in, including when using the app on a tablet.

For an individual user, the same permissions can be configured without modifying the role. This can be done under Account Settings - Users, by opening the three-dot menu and selecting Permissions.
